Challenge
Serendipity Center manages highly sensitive records related to at-risk children, requiring strict privacy, security, and compliance controls similar to HIPAA standards. The organization faced significant challenges due to frequent vendor transitions, fragmented data systems, and inconsistent data quality.
The client had undergone multiple system changes in a short period, leading to potential resistance from teaching and administrative staff. Data was spread across five to six different systems and formats, including siloed Excel spreadsheets and hard-copy files. Inconsistent data entry practices, such as the use of nicknames and multiple versions of individual records, made it difficult to establish a reliable identifier for reporting and analysis. These issues limited visibility, increased operational risk, and made accurate management reporting difficult.
